Sound familiar?

The phone rings while you’re with a patient.

Small clinics, physio, dental, aesthetics and therapy practices run on a diary, a phone and WhatsApp, and the front desk becomes the bottleneck.

  • Patients can only book while reception is open.
  • No-shows leave gaps you can’t fill at short notice.
  • Notes, consent forms and invoices live in different places.
  • Practitioners juggle personal phones for patient messages.
What gets built

The parts, shaped to you.

Pick the ones you need. Each is built around how your team already works, then joined up on one set of data.

Online booking by treatment

Practitioners, rooms, durations and buffers, with rules for new and returning patients.

Deposits and cancellation rules

A deposit to secure the slot, and a cancellation window you set.

WhatsApp and SMS reminders

Reminders with confirm or reschedule links, and a waitlist for freed-up slots.

Patient records

History, notes, documents and consent forms, with access by role and an audit trail.

Patient portal

Upcoming appointments, invoices, documents and forms to fill in before the visit.

Treatment plans

Recurring appointments and courses booked in one go.

Invoicing

Invoices and receipts per visit or per plan, with card payments.

Reports

Utilisation per practitioner and room, no-show rate and revenue.

How integrations work
A good fit if
  • You run several practitioners or rooms and booking rules are getting complex.
  • No-shows and phone time are a real cost.
  • You want booking, records and invoicing on one system.
Not the right call if
  • You need certified clinical or medical-device software. That’s a specialist product, not a custom build.
How it runs

From first call to daily use.

The same five steps on every project, sized to yours.

  1. 01A short call or the quote builder

Tell me how the business runs today: the tools, the workarounds, the bit that drives you mad. The quote builder takes about five minutes and gives me a scoped brief.

  2. 02A fixed quote, in phases

I reply with a fixed price and a phase plan. The must-haves go first, so you are using the system while the rest is still being built.

  3. 03Previews as it’s built

You see the real system on a private link while it is being built, with your own data in it as early as possible. Changes are cheap at this stage, so this is where we make them.

  4. 04Your data moved across

Spreadsheets, an old system, email threads: the data comes with you, checked against the source so nothing is lost on the way.

  5. 05Launch, then care

Your team gets a walkthrough, and I stay on for fixes and new features, either on a monthly support plan or pay as you go.

FAQ

Questions, answered.

Is patient data handled properly?

Health data is a special category under GDPR, so access is limited by role, every view and change is logged, and data is stored on established cloud platforms. The data protection set-up is agreed in the proposal before any patient data moves.

Can patients book and pay a deposit online?

Yes, by practitioner and treatment, with deposits and cancellation rules through Stripe.

Do reminders really reduce no-shows?

Reminders with an easy reschedule link turn many no-shows into reschedules you can refill from the waitlist. How much depends on your patients; the system reports the rate so you can see it.

Can it replace our current clinic software?

If your current software is getting in the way, yes, with your records migrated. If it works well, connecting it to the rest is often the better job.
