Quoting & invoicing

Quote faster. Get paid sooner.

Quotes priced from your own rate card or catalogue, sent as branded PDFs, accepted online and turned into invoices without retyping. Then the reminders go out on their own until the money is in.

Sound familiar?

The work is done. The money is still out.

Quoting in Word or Excel is slow and easy to get wrong, and chasing invoices is the job nobody wants. Both cost you cash flow.

  • Every quote is a copy of the last one, edited by hand.
  • Prices drift because the rate card lives in someone’s head.
  • Accepted quotes get retyped into the invoicing app.
  • Overdue invoices get chased when someone has time, which is rarely.
What gets built

The parts, shaped to you.

Pick the ones you need. Each is built around how your team already works, then joined up on one set of data.

Quotes from your rate card

Line items from your catalogue, rates and options, with takeoffs or calculators for the trades that need them.

Prices checked on the server

The system re-prices every quote itself and rejects totals that don’t match, so a typo can’t go out.

Branded PDFs and online accept

Clients open, accept and pay a deposit from a link. You see who opened what, and when.

Quotes become invoices

One click from accepted quote to invoice, deposit or progress invoice.

VAT handled

Malta VAT rates, VAT-exempt clients and several rates or countries when you need them.

Recurring billing

Monthly, termly or per-contract billing that runs on its own.

A chasing ladder

Polite reminders that escalate on a schedule, with safety checks so nobody gets chased for a paid invoice.

Exports for your accountant

Sales ledger, payments and VAT summaries ready to export.

How integrations work
A good fit if
  • Your pricing has rules: rates, quantities, options, travel, materials.
  • You send more than a handful of quotes a week.
  • Overdue invoices are a regular cash-flow problem.
Not the right call if
  • You send a few simple invoices a month. Standard invoicing software is the cheaper answer.
How it runs

From first call to daily use.

The same five steps on every project, sized to yours.

  1. 01A short call or the quote builder

Tell me how the business runs today: the tools, the workarounds, the bit that drives you mad. The quote builder takes about five minutes and gives me a scoped brief.

  2. 02A fixed quote, in phases

I reply with a fixed price and a phase plan. The must-haves go first, so you are using the system while the rest is still being built.

  3. 03Previews as it’s built

You see the real system on a private link while it is being built, with your own data in it as early as possible. Changes are cheap at this stage, so this is where we make them.

  4. 04Your data moved across

Spreadsheets, an old system, email threads: the data comes with you, checked against the source so nothing is lost on the way.

  5. 05Launch, then care

Your team gets a walkthrough, and I stay on for fixes and new features, either on a monthly support plan or pay as you go.

FAQ

Questions, answered.

Will it work with our accountant’s software?

Invoices and payments can be exported or synced to the accounting software you use. Tell me which one in your brief and I’ll confirm how.

Does it handle Malta VAT?

Yes: standard and reduced rates, exempt clients, and several rates or countries when you trade abroad.

Can clients accept a quote and pay a deposit online?

Yes. They open a link, accept, and pay by card. The deposit invoice and the job are created for you.

Can it price jobs from measurements or a calculator?

Yes. Storex’s website calculator feeds quotes straight into its system, and the concreting portal prices from takeoffs.

We already use Wix or another invoicing tool. Do we have to switch?

Not necessarily. Storex kept Wix invoices and the system syncs both ways.
