Custom CRM

A CRM that works the way you sell.

Every enquiry from your website, WhatsApp, email and phone lands in one place, gets an owner and gets followed up. Built around your pipeline, not a template someone else designed for a different business.

Sound familiar?

Leads don’t get lost on purpose. They fall between tools.

Most small businesses in Malta run sales across a shared inbox, a WhatsApp group, a spreadsheet and somebody’s memory. That works until it doesn’t.

  • Enquiries arrive in five places and nobody is sure who replied.
  • The client list lives in a spreadsheet that three people edit at once.
  • Quotes go out, and nobody chases the ones that went quiet.
  • You pay per seat for an off-the-shelf CRM and still keep a spreadsheet next to it.
  • Nobody can say where your best customers actually came from.
What gets built

The parts, shaped to you.

Pick the ones you need. Each is built around how your team already works, then joined up on one set of data.

One inbox for every enquiry

Website forms, WhatsApp, email and social messages arrive in the CRM and are filed against the right person automatically. Phone and walk-in leads take one tap to log.

Your pipeline, your stages

A board with the stages your business really uses, with flags when a deal sits in one too long or a step was skipped.

Client records that stay clean

One record per client with every message, quote, invoice, file and note, and duplicate detection so the list doesn’t rot.

Quotes from the record

Build a quote from a catalogue or rate card, send it as a branded PDF, and see when it was opened and accepted.

Follow-ups that happen

Reminders and email templates for the quiet quotes and the renewals, so following up stops depending on who remembers.

Reports you’ll actually read

Where enquiries come from, what converts, what is overdue and what is coming up, live, without exporting to Excel.

Roles and permissions

Sales sees the pipeline, the office sees invoices, and only you see the numbers you want kept private.

On every device

Works in the browser on desktop and phone. A native iPhone and Android app on the same backend is an option when the team works in the field.

How integrations work
A good fit if
  • Your sales process has steps an off-the-shelf CRM makes you work around.
  • Enquiries come from WhatsApp and your website as much as from email.
  • You want quotes, invoices and client records in the same system.
  • Per-seat pricing is getting expensive as the team grows.
Not the right call if
  • You have two people, a simple pipeline and no integrations to speak of. A good off-the-shelf CRM will do the job, and I’ll tell you so.
  • You need it live next week. A first version takes weeks, not days.
How it runs

From first call to daily use.

The same five steps on every project, sized to yours.

  1. 01A short call or the quote builder

Tell me how the business runs today: the tools, the workarounds, the bit that drives you mad. The quote builder takes about five minutes and gives me a scoped brief.

  2. 02A fixed quote, in phases

I reply with a fixed price and a phase plan. The must-haves go first, so you are using the system while the rest is still being built.

  3. 03Previews as it’s built

You see the real system on a private link while it is being built, with your own data in it as early as possible. Changes are cheap at this stage, so this is where we make them.

  4. 04Your data moved across

Spreadsheets, an old system, email threads: the data comes with you, checked against the source so nothing is lost on the way.

  5. 05Launch, then care

Your team gets a walkthrough, and I stay on for fixes and new features, either on a monthly support plan or pay as you go.

FAQ

Questions, answered.

Why build a custom CRM instead of using HubSpot or Zoho?

Off-the-shelf CRMs are a good fit when your process matches theirs. A custom CRM makes sense when it doesn’t: when enquiries come through WhatsApp, when quotes depend on your own rate card, or when the CRM also needs to run invoicing, bookings or the warehouse. You also stop paying per seat as the team grows.

Can my WhatsApp messages go into the CRM?

Yes. WhatsApp Business messages can be filed against the right client alongside email and website enquiries. Storex runs Gmail, WhatsApp, Messenger and Instagram in one inbox this way.

Can you move our data out of spreadsheets or an old CRM?

Yes. Clients, contacts, history and files are imported and checked against the source before you switch over, so you start with everything you had.

How long does a custom CRM take?

A focused first version is usually a matter of weeks. The quote builder shows a rough build time as you pick modules, and the fixed quote sets out the phases.

Can it start small and grow?

That is the usual route. Storex started as a client and invoice tracker connected to its Wix site and grew into the platform the whole business runs on.

Do you build CRMs for businesses outside Malta?

Yes. I’m based in Malta and work remotely with clients abroad, including a contractor now operating in Melbourne.
